How to Create an Order Window Summary Report

This video will show you how to create Order Windows Summary Reports on RTA. Order Window Summary Reports can be generated for one specific month or a specific time period.

1. Click "Order Window Summary Report"

On the RTA home screen, begin by selecting, on the right hand side in the top corner, the channel and state you wish to work within. Next under Quick Links, select the tile "Order Window Summary Report".

2. Utilize Drop Down to Select Geography Specifics

On the next screen, you will begin by selecting the Geography specifics. This can be done by utilizing the drop-down function. You will be able to select either National, Territory, State, or an Address for a specific distributor.

3. Select Additional Geography Parameters in Drop Down

For this example, we have selected "By State" for the parameters. This will gather all of the information for the specific state that we enter on the next dropdown. Here we will select "AL" for Alabama.

4. Utlize Program Filtering to Determine Time Frame of Report

Once you have filtered the parameters for your Geography, move to the program filtering area. Here you will have a drop-down to select the time frame. This can be By Program, By In Market Month, or for a specific delivery date range.

5. Click "By Delivery Date Range"

For this example, I would like to know all of the point of sale that's been delivered to my distributors in Alabama for January 1st and future deliveries, let's say to May 31st. So, here I would select By Delivery Date Range to give me the specifics of a date range for all point of sale being delivered in Alabama.

6. Enter Delivery Date Ranges

Next, use the dropdowns to select these date parameters: January, 1st 2025 in the first box and May 31st 2025 in the second box.

7. Click "Generate PDF Report"

In the next area of item filtering, you can select Order Type, Brand, Item Type, or Business Unit to really narrow down the results for your report. However, for this example, we are going to leave in all Items, all Brands, and all BU's, and then go directly to generating a PDF. So, select the button "Generate PDF Report".

8. Click "DOWNLOAD PDF"

Next, click the button "Download PDF".

9. Report Information

The report and the PDF that you have generated will have a title page as shown here indicating this is a Focus Order Summary for the state of Alabama. The next pages will show each item that was ordered during the specific time period that you selected. So, these are item types for Pink Whitney during the Focus period of February for On-Premise Q1. The item name is indicated, Item Sequence Number, Item Description, Estimated Delivery Date, and then the quantities for each distributor. If Customer Development has placed any orders, they will also show in this area.
